Privacy Policy

This Privacy Policy describes how Condo Inspect Pro ("we", "us", or "our") collects, uses, discloses, and protects personal information in connection with the Service at condoinspectpro.com and erp.condoinspectpro.com. We are committed to compliance with the Personal Information Protection and Electronic Documents Act (PIPEDA) and other applicable Canadian privacy law.

1. Personal information we collect

We collect the following categories of personal information:

  • Contact information: name, email address, phone number, role (e.g., property manager, board member)
  • Corporation information: condominium corporation name, registration number, building address
  • Professional credentials: CMRAO licence number where provided
  • Fire Safety Plan content: text and images extracted from the document you upload, including any personal information that may appear in the document
  • Payment information: processed by Stripe; we do not store credit card numbers
  • Technical information: IP address, browser type, device information, cookies, log data
  • Communications: emails sent to support@condoinspectpro.com

2. How we use personal information

We use personal information to:

  • Provide the Service, including extracting data from uploaded Fire Safety Plans and generating Emergency Response Plans
  • Process payments through Stripe
  • Send transactional emails (preview, receipt, delivery)
  • Respond to support inquiries
  • Improve the Service through aggregated, de-identified analytics
  • Comply with legal obligations
  • Send marketing emails only with your explicit consent

3. Lawful basis

We rely on the following lawful bases under PIPEDA:

  • Consent: when you upload a document, complete the interview, and submit payment
  • Performance of a contract: to deliver the Service you purchased
  • Legal obligation: to comply with tax, accounting, and regulatory requirements
  • Legitimate interest: for fraud prevention, security, and aggregated analytics

4. Third-party processors

We share personal information with the following processors only as necessary to provide the Service:

  • Stripe (payment processing): your payment details, name, email
  • Anthropic (AI extraction): the text or images of your uploaded Fire Safety Plan
  • Resend (transactional email): your name and email address
  • Replit (hosting): all data stored by the Service is hosted on Replit infrastructure

Each processor is bound by their own data processing terms. We do not sell or share personal information with third parties for marketing.

5. Cross-border data transfer

Some processors may store or process data in the United States or other jurisdictions outside Canada. By using the Service, you consent to the transfer of your personal information to these jurisdictions, which may have different privacy protections than Canada.

6. AI processing

The Fire Safety Plan you upload is processed by Anthropic Claude AI to extract building data. Anthropic states that data submitted through the API is not retained or used to train AI models. We do not use your data to train any AI model.

7. Cookies

We use only essential session cookies required for the Service to function. We do not use tracking or advertising cookies.

8. Data retention

  • Uploaded Fire Safety Plans: retained for 24 months after upload to support reissuance and audit, then permanently deleted
  • Generated Emergency Response Plans: retained for 12 months after generation, then permanently deleted
  • Email and contact information: retained for 7 years for tax and accounting compliance, then deleted unless you have requested ongoing service
  • Payment records: retained for 7 years for tax compliance
  • Marketing consent records: retained until you withdraw consent

9. Your rights under PIPEDA

You have the right to:

  • Access the personal information we hold about you
  • Request correction of inaccurate or incomplete information
  • Request deletion of your personal information, subject to legal retention requirements
  • Withdraw consent for marketing communications at any time
  • File a complaint with the Office of the Privacy Commissioner of Canada at priv.gc.ca

10. Data security

We use commercially reasonable technical and organizational measures to protect personal information, including encryption in transit and at rest, access controls, and monitoring for unauthorized access. No security measure is perfect. You acknowledge that any data transmission over the internet involves some risk.

11. Children

The Service is not directed to individuals under 18. We do not knowingly collect personal information from children. If you believe a child has provided personal information to us, contact us at support@condoinspectpro.com and we will delete it.

12. Changes to this Privacy Policy

We may update this Privacy Policy from time to time. We will provide at least 30 days notice of material changes by email or by posting a notice on condoinspectpro.com.
